5 essentials for your HR spring cleaning checklist

Spring has arrived! The sun is rising earlier, birds are tweeting, trees are blossoming, and the hectic workload of the early months is hopefully decreasing. There’s no better time to rejig and streamline your HR department. Unsure where to begin? To get you started here’s our 5 essentials to a supreme HR spring clean!

 1. Organisation

It may seem obvious, but a clearer desk is a clearer head! Organising masses of paperwork may seem like a never-ending chore, but filing methods and formatting can make retrieving personal files time efficient and hassle free. Store your hard copies in chronological order, in a safe and secure space.

However, when it comes to documents, we recommend going paperless. Not only will this benefit the environment, but it will benefit your business too. Free up time and space with an electronic files management system, and don’t forget to back up all your files too. This way you never need to worry about misplacing or losing a file.       2.  Training plan

Employee training programmes equip your staff with the necessary knowledge and tools to perform their jobs to the highest standard. Did you know that 76% of employees say that a company would be more appealing if it offered additional skills training to its staff? Organisations with poor training processes are twice as likely to experience employee turnover. To strengthen your employee relationship and benefit your business, an established training programme is a must. OptiMe offer a variety of great value training courses that can be completed anywhere.     3. Employee handbook

A good rule of thumb is to update your employee handbook annually to keep it relevant. Employee handbooks are a critical communication tool between you and your team. It helps employees know what’s expected of them and how they should manage different situations. It also protects you, the employer against any legal disputes. So why not take the opportunity to get it sorted now? Double check your employee policies ensuring they’re in line with any:

  • legal changes and regulations
  • technology changes
  • company changes

and of course, double check for any missing information, and ensure policies are clear and understandable for everyone.

      4. Redesign the office

Clearing the clutter in the workplace is an instant employee productivity boost. After dusting away the spiders and cobwebs, rethink your office layout. Perhaps apply a new coat of paint to show off your companies’ personality, and don’t underestimate the power of natural light. Research suggests 30 minutes of natural light per day boosts mood, productivity, and overall health. Reorganise the office space so that desks are near windows and as the weather warms up, open windows to get some fresh air in to refocus the mind. Adding plants to the workplace also aids employee concentration and relaxation, with research showing that plants in the office reduces the number of employee sick days and absences.

         5. Employee rewards and recognition

Last but certainly not least, we can all agree that the past year has been one of extreme change for everyone. Reward employees for their hard work throughout the year with a hand-written note or a small gift. Ensure your calendar is up to date with employee birthdays and work anniversaries so that you can acknowledge and celebrate you and your employee’s success this Spring!
